About Equivio's ROI
Equivio's ROI is driven by savings in review costs.
Equivio detects and groups near-duplicate files. With near-duplicate rates consistently in the range of 30-50%, this generates significant savings:
- When starting the review process, the attorney is presented with sets of near-duplicates.
- Within each set, Equivio selects the pivot document, which is the most representative document of the near-duplicate set.
- The attorney starts by reading the pivot document.
- Having read the pivot document, the reviewer has one of two choices:
- If the pivot document is not relevant, the attorney can decide to skip the remaining documents in the near-duplicate set.
OR
- If the pivot document is relevant, the attorney can review the remaining documents in the set using a compare utility, such as DeltaView, which highlights differences relative to the pivot document
- In either case, the review process for near-duplicates is far quicker than standard review of individual documents. It is also more effective because the reviewer is directed to the differences in each document, and will not inadvertently overlook key data.
Given a review cost of around $3 per document, the potential savings are huge.

| ROI Fields |
Definition |
| Case Parameters |
| Volume units |
Indicates whether the size of your case is defined by number of documents, number of pages or in GigaBytes. |
| |
|
| Volume |
The size of the case. The volume is in the units of measurement defined in the Volume Units parameter. |
| |
|
| Case breakdown by file type |
Indicates the distribution of documents in the case by file type. In these fields, you are required to enter the percentage of each type of file in the collection. The percentages should total to 100%. Native files include Microsoft Word, Powerpoint, Excel and PDF files. Emails include PST files, as well as EML and MSG files.
Defaults:
• Native files: 30%
• Emails: 40%
• Text and HTML: 30%
• OCR: 0%
|
| |
|
| Similarity level |
This field is the EquiLevel, which is the minimal level of similarity for any two documents to be considered near-duplicates. The standard default for most cases is 75%. In OCR cases, lower EquiLevels, in the range of 60%, are used. The minimal level is 50%. Obviously, the lower the EquiLevel, the higher the number of near-duplicates that will be detected.
Default: 75% |
| |
|
| Case includes exact duplicates |
Equivio can detect both near-duplicates, as well as exact duplicates. In some cases, the collection that is input to Equivio has already been de-duped to eliminate exact duplicates. In this field, you are required to indicate whether the collection has already been fully de-duped.
Default: Yes |
| |
|
| Near-duping cost per document |
This field indicates the price to your Equivio supplier, typically a service bureau. In most cases, prices are provided per document. The ROI calculation deducts the Equivio cost from the review savings generated. The default price is indicative only. Prices for the near-duping detection service are determined by your service bureau.
Default: $0.12 |
| |
|
| Average review cost per document |
In this field, you are required to indicate the average cost of document review in your organization. The default value of $3 is based on industry surveys.
Default: $3.00 |

| Review effort saved |
Indicates the estimated review effort saved by Equivio as a percentage of the entire review effort. In all other cases, after reading the pivot, the remaining documents can be reviewed by just comparing differences vis-à-vis the pivot.
