Los Angeles, June 6, 2006 - Commonwealth Legal, Canada’s national litigation support company, is excited to announce the launch of its new and innovative Equivio near-duplicate identification service. The cost of reviewing documents relevant to a litigation matter can be substantial. As technology has given us the ability to create, print and/or store more and more versions of the same documents, we are seeing those review costs increase. Identifying and grouping these documents prior to a full document review reduces the review time, frees up expensive legal resources and ultimately saves the litigants money.
Steve Bula, Commonwealth Legal National Production Manager describes the Equivio technology as revolutionary: “One of our clients had a large number of documents and a very short period of time for the review. After scanning and OCRing the collection we ran the near-duplication technology against it. We were able to identify 34.4% of the collection as near-duplicates which ultimately saved our clients weeks of work.
Equivio’s statistics show that most document collections contain between 25% and 50% near duplicates which is in line with Commonwealth Legal’s test cases which have been between 29.7% and 34.4%. Near-duplicates are similar files with some textual or formatting differences, or the same files saved in different formats. Files often originate as electronic documents but they can also be paper-based documents that have been scanned and OCRed or combinations of electronic and paper-based collections.
According to Commonwealth Legal Vice-President, Elaine Balestra, “Near-duplicates are the source of a lot of frustration for document reviewers. Knowing you have already read similar documents earlier in the review can be challenging as each time you find a similar document you need to find the other documents to ensure they are all treated in the same manner. Furthermore, when you don’t recall that a similar document has been reviewed or when several people are reviewing similar documents and treating them differently, there can be discrepancies in the document collection.”
The ROI on near-duplicate detention is very concrete. Industry studies have shown it costs at least $3 to $4 per document for the review. The Equivio process costs pennies per document and results have been technically proven as accurate. By eliminating the need to re-read similar documents in their entirety, the review costs proportionately decrease. After running the process against the document collection, Commonwealth Legal can provide load files for many industry standard litigation support tools used for document review, including CT Summation, FTI Ringtail, iConect and Concordance.
